1 · Getting started

All Your Inboxes in one sentence: every address you own — info@, support@, sales@ across all your domains — lands in the inbox you already read, and your replies go back out from the right address.

  1. Sign up at allyourinboxes.com/sign-up. Your account email becomes your notification address — where every alert lands. You can change it any time in Settings.
  2. Open Inboxes → Connect inbox and pick the path that fits (next sections).
  3. That’s it. When mail arrives, a notification appears in your normal inbox. Hit Reply on it and your answer leaves from the business address.

Privacy by design: we never show message contents in the dashboard, and we delete our copy right after your notification is delivered.

2 · Connect a domain on Cloudflare (recommended)

If your domain’s DNS is on Cloudflare, we can set up everything for you — no mailbox needed, no DNS editing, and the address doesn’t even have to exist yet.

  1. Go to Inboxes → Connect inbox → Connect Cloudflare.
  2. Click Create token on Cloudflare. The name, zone and DNS parts come pre-filled; add two permissions with + Add more (Zone → Email Routing Rules → Edit, and Account → Email Routing Addresses → Edit), then Continue to summary → Create Token, copy it, paste it back, and hit Connect.
  3. Type any address name you want (info, support, hello…), pick the domain, press Create.

Behind the scenes we enable Email Routing, create the rule, confirm Cloudflare’s verification automatically and start watching the address. From the Starter plan up.

3 · Connect any mailbox with forwarding

Works with every provider — Gmail, Outlook, Yandex, Zoho, cPanel hosts — and needs no password.

  1. Connect inbox → enter a project name and the address → Continue.
  2. We show you a unique forwarding address (looks like f.…@allyourinboxes.com) and provider-specific steps.

  4. Need to START a conversation, not just reply? See sending new emails straight from Gmail.
  5. In your mail provider’s settings, add a forwarding rule to that address.
  6. If your provider asks for a confirmation code — it emails the code to us, and we instantly show it in your panel. Paste it back. Done.

The inbox shows Waiting for first email until the first message flows, then flips to Getting mail. Use Run health check any time to test the chain end-to-end.

4 · Advanced: connect with an IMAP password

Prefer pulling mail directly? Open Advanced — connect with an IMAP password on the connect form. We auto-detect the server from the address; you usually only add the password.

  • Gmail: your normal password won’t work — create an App Password (2-step verification required) and use that.
  • Outlook/Hotmail personal: Microsoft disabled password IMAP entirely — use the forwarding path instead; we’ll steer you automatically.
  • We test the connection before saving; nothing is stored unless it works. Passwords are encrypted with AES-256-GCM.

5 · Replying from your own address

Turn on sending once per inbox (Starter plan and up), then never think about it again.

  1. On Inboxes, find the inbox and use the Replying switch: Google and Microsoft connect with one click (OAuth); other providers take an SMTP password.
  2. When a notification arrives, just hit Reply in your own mail app and write above the marker line.
  3. Your answer is sent from the business address, in the same thread. All Your Inboxes appears nowhere in the message.

Security: replies are only accepted from your notification address, and only when the mail passes SPF/DKIM authentication. If sending ever fails you get an immediate “your reply wasn’t sent” alert — silence never means failure.

6 · Starting a new email

Two ways to send a fresh email from a business address:

  • Dashboard: press New email on the inbox row — to, subject, message, send.
  • From your own inbox: every inbox has a private send address (shown in the New email window). Write to it from your notification address, put the recipient on the first line like to: customer@example.com, then your message. You’ll get a “Sent” receipt.

7 · Smart notifications & AI auto-reply (Pro)

  • Spam shield: cold outreach gets a likely spam tag in the subject — you see it, we never silently delete.
  • Translation: mail in another language arrives with a translation under it.
  • Reply drafts: a ready-to-send draft in the customer’s language, with a one-tap “Reply with this draft” button.
  • Auto-reply: opt-in per inbox. Real, authenticated customer mail gets the draft sent automatically; spam and no-reply senders never do, and the notification always shows exactly what went out.

8 · Deliverability: staying out of spam

Getting mail is easy; keeping your replies out of the spam folder is the hard part. The Deliverability page checks every domain’s MX, SPF and DMARC and shows a verdict: Protected, At risk, or Unprotected.

  • Missing records come with exact copy-paste values.
  • Domain on Cloudflare + Pro plan? Press Fix automatically and we write the records for you.

9 · Organizations

Group inboxes per business: the switcher at the top-left creates and switches organizations. Each one gets its own dashboard, inbox list and stats — info@, help@ and noreply@ of one brand live together, separate from your other projects.

11 · Troubleshooting

  • “Waiting for first email” won’t turn green: the forwarding rule isn’t delivering yet. Check the rule targets the exact f.… address, then press Run health check.
  • My reply didn’t reach the customer: you always get a failure alert with the reason. Most common: sending isn’t enabled for that inbox yet, or you replied from a different address than your notification address.
  • Notifications stopped: check the Dashboard — a red Broken badge names the cause. Health check re-tests the chain in one click.
  • Changing your notification address: Settings → Notification address. Nothing needs to be re-set-up; only future replies must come from the new address.
